Description
JOB TITLE: Admissions Specialist JOB SUMMARY: The Admission Specialist plays a critical role in the intake process for new and returning patients in both primary care and behavioral health services. This individual serves as the first point of contact for patients, ensuring a welcoming, efficient, and compassionate experience. Responsibilities include gathering and verifying patient information, scheduling appointments, verifying insurance, and facilitating smooth transitions into care services. DUTIES AND RESPONSIBILITIES:
- Greet patients and visitors warmly, creating a positive first impression.
- Register new patients and update existing patient records in the Electronic Health Record (EHR) system.
- Collect and verify demographic, insurance, and referral information.
- Schedule initial and follow-up appointments for medical and behavioral health providers.
- Coordinate with clinical staff, case managers, and billing teams to ensure accurate patient information.
- Provide patients with necessary forms, consents, and explanations of clinic policies.
- Maintain confidentiality and adhere to HIPAA and clinic privacy standards.
- Follow up on missing or incomplete documentation and assist patients in completing the required forms.
- Confirm insurance eligibility and assist with prior authorizations or referrals when necessary.
- Collaborate with patients to resolve any issues or barriers to care, including transportation, financial, or language support.
- Participate in staff meetings and training to stay up to date on clinical procedures and best practices.
- Manage phone calls and messages promptly and professionally.
Qualifications
PREFERRED QUALIFICATIONS:- Knowledge of behavioral health and primary care services is strongly preferred.
- Strong customer service, communication, and organizational skills.
- Ability to manage sensitive and confidential information with discretion.
- Bilingual (e.g., Spanish, Somali, etc.) preferred but not required.
- Ability to manage large volumes of calls effectively.
- Familiarity with Electronic Health Records (EHR) and scheduling software.
- Demonstrated ability to assist clients/patients with diverse psychosocial needs.
- Understanding of privacy regulations like HIPPA and patient confidentiality.
- Bilingual Skills preferred.
- Education- High school diploma or equivalent (associate degree in healthcare administration or related field preferred).
- Experience- Minimum 1-2 years’ experience working healthcare admissions, front desk, or medical office role.
- Occasional standing, walking, lifting, reaching, kneeling, bending, stooping, pushing, and pulling.
- Occasional lifting and/or moving up to ten pounds.
- Frequent sitting.
- Proficient reading eyesight and vision for close work.
- Ability to communicate by speaking and hearing in person or on the phone.
- Fast-paced clinic environment.
- May require sitting, standing, and walking for extended periods.
- Occasional evening or weekend shifts may be required based on clinical hours.
