We're looking for someone to join our team as an Operations Coordinator who:
The Operations Coordinator is responsible for efficiently delivering support services to Clinica Sierra Vista’s Operations department. This position works closely with the Directors of Practice Management (Fresno and Kern) and the Chief Medical Officer to support, Operations and Medical. The Operations Coordinator will work to accomplish goals and directives of the department, including special projects with high level of confidentiality, detail, and professionalism. The support will include coordination of meetings, minute taking, projects, and other activities as needed. This position works to close communication gaps between the Chief Operations Officer and Chief Medical Officer.
Essential Functions:
- Assists the CMO and the Medical Directors in planning and coordinating daily calendar; schedule meetings and other logistical arrangements as directed.
- Provide strategic planning at the Community Health Centers in, objectives, overall operations, clinical practices, and directing activities.
- Responsible for organizational functions and general meeting support; including arranging meeting space, preparing agendas, note/minute taking, tracking follow-up for discussed items and securing food and supplies as needed.
- Help to ensure administrative practices and protocols are in place to maximize return on clinical investment and compliance standards with interdepartmental ancillary positions.
- Works closely and effectively with Medical Directors to ensure Team Members are well-informed of upcoming commitments and responsibilities, following up appropriately.
- Assist with leading Community Health Center service activities, including recognizing and implementing service standards, resolving questions, planning educational events, researching, and implementing current best medical practices, techniques and technologies.
- Assists with implementing processes across clinics that improve quality and patient satisfaction while maintaining quality of patient satisfaction as well as meeting performance metrics for each clinical location.
- Assist with implementing policies, programs and practices to ensure that clinical operations are compliant with federal, state, and/or local regulations and accreditation standards.
- Support to the CMO, Medical Directors and Providers:
- Assists in coordination of meetings with Providers.
- Attends meetings that involve Medical Directors, as needed.
- Coordinate’s onboarding of new providers.
- Works closely with Learning and Development Department on development of training material related to providers.
- Ensures tools developed to improve operations are deployed, implemented, and updated as needed.
- Intimately involved in all aspects of Provider scheduling.
- Follows-up on assignments/reports with CMO, Executive Assistant, Executive Coordinator and Providers.
- Assists in managing the ADP time cards of Providers and other assigned staff.
- Involved in campaigns focusing on improving the patient experience.
- Participates in process improvement activities
- Reconciles various invoices for the Medical Department.
- Bachelor’s Degree in Healthcare Administration/ Business and/or at least two years’ experience in an FQHC and/or health care industry.
- Experience with EPIC or EHR system (Preferred).
- Proficiency in Microsoft Office with an emphasis on Excel and Word.
